Role Overview

As the Finance Officer, you will play a key role in supporting the Finance Manager in managing project accounting, budgeting, treasury operations, and financial reporting. This position requires a high level of attention to detail, strong technical skills, and the ability to work collaboratively across teams.

Key Responsibilities

Accounting and Financial Management:

  • Review and reconcile monthly accounting journals, ensuring accuracy and proper allocation of entries.
  • Prepare journal entries for prepayments, intercompany transactions, and payroll adjustments.
  • Update accrued expenses, including staff leave, severance pay, and outstanding bills.

Treasury and Cash Management:

  • Oversee daily bank and cash transactions, ensuring timely payments to suppliers and compliance with contracts.
  • Reconcile local tax and payroll payments monthly.
  • Manage cash needs for field offices and prepare bank transfers.
  • Ensure robust cash management controls are in place across all sites.

Documentation and Compliance:

  • Maintain a secure and organised filing system for all accounting documents.
  • Oversee the repatriation of original documents from field offices.
  • Support financial audits by providing necessary documentation.

Financial Reporting and Budgeting:

  • Prepare accurate financial reports for grant reporting and donor compliance.
  • Monitor actual expenditures against budgets and provide timely updates to the Senior Management Team (SMT).
  • Collaborate with departments to develop forecasts and ensure accurate financial planning.

Team Support and Training:

  • Serve as the primary point of contact for field offices regarding finance-related queries.
  • Conduct training sessions for staff with financial responsibilities.
  • Travel to field offices as needed to provide orientation and support to newly recruited finance personnel.

Leadership and Substitution:

  • Act as a substitute for the Finance Manager during absences or vacancies.
  • Provide guidance and supervision to finance assistants and accountants.

Qualifications and Experience

  • Education: A degree in finance, accounting, or a related field.
  • Experience: Minimum of 3 years of relevant work experience, preferably with NGOs or in similar roles.
  • Technical Skills: Proficiency in financial software systems and Microsoft Office.
  • Knowledge: In-depth understanding of financial regulations, accounting processes, and donor policies (e.g., ECHO, FCDO, SDC, BHA).
  • Language: Strong written and verbal English skills.
  • Personal Attributes: High attention to detail, ability to process large volumes of data, and excellent time management skills.
